Reserve a Room

    Study Rooms

    Looking for a room for 1–6 people? Study rooms designed for small group and individual use are located on the 2nd floor of the Main Library, in the Main Library Kids Area and Teens Area*, and at the Joyce Winner West Branch.

    • Cardholders with library cards registered at the Carmel Clay Public Library may reserve up to 4 hours of study room time a week (in blocks of up to 2 hours; maximum of 2 reservations per day). Study rooms may be reserved up to 1 week in advance. Reservations will not be taken over the phone.
    • If you are not a cardholder or have already used your advance reservation time for the week, rooms are available on a first-come, first-served basis for up to 2 hours. (Room use may be extended if space permits.) Visit a library service desk to find out about room availability.

    *Note that Teens Area study rooms are for teens in grades 6–12. Kids Area study rooms are for children in grade 5 and younger. Children ages 0–5 must be accompanied by an adult while using a study room.

    Meeting Rooms

    Looking for a larger meeting room for your group? The Main Library has five meeting rooms that can be rented by organizations, businesses, and groups according to the library’s Board-approved Meeting Room Policy.

    • The group representative reserving the room must have a card registered at the Carmel Clay Public Library.
    • Room reservations must be requested using the online form no fewer than 7 days in advance and no more than 3 months in advance. Exceptions to these time requirements cannot be made.
    • Groups may utilize library meeting rooms up to six times in a calendar year. (Note that the large Community Room is not available for outside rental from June 1 through July 31.)
    • Rental fees range from $25/hour to $100/hour depending on room capacity with a 2-hour minimum. The rental fee will be waived for designated nonprofit organizations who present 501(c)3 documentation.

    • Rooms may not be rented for individual use or social gatherings, such as private parties, weddings, tutoring, etc.
    • Groups may not solicit, engage in sales, perform financial transactions, promote products or services, or charge an admission fee. The library's picture, name, logo, etc., may not be used in promotional materials.
    • Rooms are only available during hours that the library is open and must be vacated 30 minutes prior to the library closing.
    • If you wish to use any of the audiovisual equipment provided in the room, please schedule a training session one week before your approved event.

    Video & Audio Rooms

    The Digital Media Lab at the Main Library offers a video recording room and two audio recording rooms for recording videos, podcasts, music, and more.

    • In order to use a video or audio room, you must have a library card that is registered at the Carmel Clay Public Library.
    • Cardholders may reserve an audio room for up to 4 hours at a time and up to 8 hours/week. Cardholders may reserve the video room for up to 6 hours at a time and up to 8 hours/week. (Note that the video room is not available on Sundays.)
    • Audio and video rooms may be reserved up to 21 days in advance. Reservations will not be taken over the phone.
    • Patrons who are reserving the video or audio rooms and using the equipment in them need to be at least 16 years old.
